Inviting your team and roles overview
How to invite teammates to CVViZ, build custom roles, and connect external recruiting partners.
Three places where people are managed
CVViZ separates internal teammates, external recruitment agencies, and client companies. Each has its own page under Settings:
Users — Settings → Users & Roles. Your internal team. They log in to your CVViZ workspace.
Vendors — Settings → Vendors. External recruitment agencies who submit candidates to your jobs.
Customers — Settings → Customers. For staffing agencies, the client companies you place candidates into.
Hiring managers are managed separately at Settings → Hiring Managers — they're tagged on jobs but don't necessarily need a CVViZ login.
Inviting an internal user
Go to Settings → Users.
Click + Add User in the top-right.
Fill in name, email, and pick a role from the dropdown.
Save. The user receives an invitation email and shows on the list with status Invited.
Once they accept and set up their account, status flips to Active.
User statuses
Invited — invitation sent, not yet accepted.
Active — accepted and using CVViZ.
Deleted — deactivated. Can be reactivated from the same screen.
Roles are custom
CVViZ doesn't yet include a fixed set of roles like "Recruiter" or "Hiring Manager". Instead, you build roles that match your org at Settings → User Roles.
Click + New Role in the top-right.
Name the role (e.g. "Recruiter", "Sourcer", "Talent Lead").
Tick the permissions the role should have.
Save. The role appears in the dropdown when inviting users.
Common permissions to know

Super Admin
Every workspace has a Super Admin — usually whoever created the workspace. Super Admins can delete any user, including other admins, and can't be deleted themselves through the UI.
Inviting external partners (Vendors)
Use Vendors when an outside recruitment agency will submit candidates to your jobs. They get a separate, restricted portal — they only see jobs and candidates you share with them.
Go to Settings → Vendors.
Add the agency's contact details.
Share specific jobs with them.
For staffing agencies — Customers and Customer Contacts
If you run a staffing agency, your client companies live at Settings → Customers (and the broader Companies workspace at /companies). Each customer can have multiple contacts who review the candidates you submit.
Editing or removing a user
From the Users list:
Edit — change role, scope, or details.
Delete — only Super Admin can delete other users; sets status to Deleted.
Reactivate — bring a deleted user back.
Tips
Build the smallest set of roles that fits your org — too many roles becomes noise.
Don't issue Super Admin access widely. One or two people is plenty.
For people who only review candidates on specific roles, use a "Hiring Manager" custom role with limited permissions, and tag them on the job rather than giving full workspace access.
